Privacy Policy

Insurance Inventory 360 ("ii360", "II360", "we", "us", or "our") is a service operated by Insurance Inventory 360 LLC that turns a video walkthrough of a property into an itemized inventory for insurance and record-keeping purposes. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

By creating an account or using ii360, you agree to the practices described here.

1. Information we collect

Account information. When you create an account we collect your name (or display name), email address, and the sign-in method you use (Google or email/password). We do not store your password — email/password sign-in is handled by Google Firebase Authentication.

Content you upload. ii360 is built around the videos you record. When you use the service we collect and store:

  • the videos you upload of your rooms, property, and belongings;
  • still images ("proof frames") we extract from those videos;
  • the inventory data generated from and edited by you — item names, descriptions, categories, estimated replacement values, and any brand, model, or serial numbers captured in the video or added by you;
  • workspace and organizational data — the names of your workspaces, rooms, and any collaborators you invite by email.

Because this content can include images of the inside of your home and identifying details of your possessions, we treat it as sensitive and protect it accordingly.

Subscription and consent information. If you subscribe to a paid plan, we record which plan you chose, its price, the date and time you agreed, and a copy of the automatic-renewal terms you were shown at that moment — including the sentence next to the checkbox you ticked. We also store the identifiers Stripe gives us for your customer and subscription. Your card details are handled entirely by Stripe and never reach our servers.

Information collected automatically. When you use the service we automatically collect basic technical and usage information, such as device and browser type, log data, and timestamps, and we use a session token to keep you signed in. Our website also uses Google Analytics and Google Ads, provided by Google LLC. They use cookies and similar technologies to collect information about your visit, such as the pages you view, how you reached us (including whether you clicked one of our ads), your device and browser, and your approximate location based on your IP address. When you sign in, we also give Google your email address so it can match a sign-up or purchase to an ad you clicked; it is hashed (scrambled) in your browser before it is sent. See Section 9.

Error reports. If something goes wrong in the app, such as an upload that can't start, your browser sends us a short technical report: what failed and its error code, the last few steps the app took before it (for example "video chosen" or "upload started"), your device and browser type, and your account ID. It never includes your videos, images, inventory or email address. We use error reports only to find and fix problems, and keep them for 30 days.

2. How we use your information

We use the information above to:

  • provide, operate, and maintain the service;
  • process your videos into an inventory (see AI processing below);
  • send you service communications, such as the "your room is ready" notification and emails about your account, renewals and payments (you can turn room-ready emails off in Settings);
  • provide customer support and respond to your requests;
  • secure the service and prevent abuse;
  • find and fix problems with the service, using error reports (see Section 1);
  • manage your plan and, if you buy a paid plan, process your payments through Stripe;
  • understand how our website is used, measure how well our advertising works, and show ii360 ads to people who have visited our website (see Section 9);
  • keep proof that you agreed to automatic renewal, where the law requires it (see Section 6);
  • comply with legal obligations.

We do not sell your personal information. We never use your uploaded videos or inventory content for advertising, and none of it is shared with Google Analytics or Google Ads.

3. AI processing of your videos

To create your inventory, ii360 sends your uploaded video to Google's Gemini API for automated analysis. The AI identifies items and returns structured inventory data, which we store in your account. Under Google's paid API terms, content submitted through the Gemini API is not used to train Google's models. The inventory, values, and item details produced by the AI are automated estimates and may contain errors — see our Terms of Use for important limitations on relying on them.

4. Service providers and subprocessors

We rely on trusted third parties to run the service. They process your information only to provide services to us. Our current subprocessors include:

  • Google Firebase (Google LLC) — authentication, database, and file storage for your account and content.
  • Google Cloud Platform (Google LLC) — backend processing and hosting.
  • Google Gemini API (Google LLC) — automated video analysis (see Section 3).
  • Vercel Inc. — hosting and delivery of the web application.
  • Twilio SendGrid — sending transactional and notification emails.
  • Stripe, Inc. — payment processing for paid plans. Your card details go directly to Stripe and never reach our servers.
  • Google Analytics and Google Ads (Google LLC) — measuring how our website is used and how well our advertising works (see Sections 5 and 9).

5. How we share information

We share information only:

  • with the service providers/subprocessors listed above, to operate the service;
  • with people you invite to a shared workspace (they can see the content in that workspace);
  • with Google, through the analytics and advertising cookies on our website, as described in Section 9;
  • when required by law, legal process, or to protect rights, safety, or the integrity of the service;
  • in connection with a business transfer (merger, acquisition, or sale of assets), subject to this Policy.

We do not sell your personal information.

6. Data retention and deletion

We keep your content for as long as your account is active. When an account is closed or lapses, we permanently delete it on a schedule:

  • Cancelled or admin-deleted accounts are retained for 30 days (so you can reactivate), then permanently purged.
  • Lapsed plans (a Free plan, or a plan we gave you at no charge, that ends without an upgrade) remain in a view-only state for 90 days after they end, then are permanently purged. A paid plan you bought does not lapse when it ends: it becomes a Free plan for 12 months, and your data is kept.
  • Expedited deletion of your data can be requested by emailing privacy@insuranceinventory360.com.
  • Error reports are kept for 30 days, then deleted automatically.

A purge permanently removes your account, workspaces, rooms, inventory, all stored videos and images, and your sign-in record. You may request deletion at any time by cancelling your account in Settings or by contacting us.

Auto-renewal consent records — the one thing that outlives your account

If you subscribe to a paid plan, we are required to keep proof that you agreed to automatic renewal and of exactly what you were shown when you agreed. That record is stored separately from your account and is not deleted when the rest of your account is purged.

  • What we keep. Your user ID and email address, the plan and price you agreed to, the exact renewal terms displayed to you, the sentence next to the checkbox you ticked, the date and time you agreed, and the related Stripe customer and price identifiers.
  • Why. California's Automatic Renewal Law requires a business to be able to show that a subscriber gave clear, affirmative consent to auto-renewal, and what was disclosed to them at the time. Without this record we could not answer a question or dispute about a charge — including one you raise yourself.
  • How long. Three years from the date you agreed, or one year after your subscription ends, whichever is later. While a subscription is active, the record is kept. Once that deadline passes it is deleted automatically.
  • Nothing else survives. No videos, images, inventory, workspaces, collaborators, or sign-in record — only the consent record described above.

We keep your email address in this record deliberately, because a question about a charge reaches us by email and the record has to be tied to the person asking. Separately, Stripe keeps its own customer record, including your email address, under its own legal and accounting obligations — that is outside our control and is not affected by deleting your ii360 account.

If you start a checkout and do not finish it, the terms shown to you are held for 48 hours and then deleted. Only a completed purchase creates a record we retain.

Anonymous processing statistics

For each video we process, we keep a short record of technical facts about the processing, so we can understand and manage what it costs to run the service: the date and hour (not the exact time), the video's size, length, resolution and format, how much AI processing it used and its estimated cost, which plan the account was on, and whether processing finished. It contains no name, email address, account, workspace, room, file name, or anything from your video. While a room exists it keeps a reference to its record, so that a retried processing run adds to the same record; that reference is deleted with the room. We keep these records in this de-identified form, we do not attempt to link them back to anyone, and we keep them after an account is deleted.

7. Security

We take reasonable technical and organizational measures to protect your information, including access controls, tenant isolation so users can only reach their own data, encryption in transit, and server-side-only access to sensitive operations.

Infrastructure and hosting. The Service runs on Google Cloud Platform, operated by Google LLC, a subsidiary of Alphabet Inc. The physical, network, and infrastructure security of Google Cloud is Google's responsibility and is governed by Google's own terms and policies. ii360 is not responsible or liable for any security breach, unauthorized access, service outage, or data loss that originates from, is caused by, or occurs within Google Cloud or its underlying infrastructure. To the extent any such incident is attributable to Google Cloud, your sole recourse is with Google / Alphabet under their applicable terms, and not with ii360 or Insurance Inventory 360 LLC. We remain responsible for applying reasonable security measures within our own control, as described above.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your privacy rights

Depending on where you live, you may have the right to access, correct, delete, or export your personal information, and to object to or restrict certain processing. You can edit your profile and inventory in the app, and you can delete your account (and all its data) from Settings. One narrow exception applies to deletion: records of your consent to automatic renewal, which we are required to retain for the period described in Section 6. To exercise any other right, contact us at the address below.

California residents (CCPA/CPRA): you have the right to know what personal information we collect, to request deletion, and to opt out of the "sale" or "sharing" of personal information. We do not sell your personal information. When Google Ads cookies on our website use information about your visit for advertising, California law may treat that as "sharing" for cross-context behavioral advertising. You can opt out at any time with Your privacy choices, at the bottom of every page, and if your browser sends a Global Privacy Control signal we treat it as an opt-out automatically. Opting out does not affect your account or your inventory.

EU/UK residents (GDPR): where applicable, our legal bases for processing are performance of our contract with you, your consent, and our legitimate interests in operating and securing the service.

9. Cookies and similar technologies

We use three kinds:

  • Necessary. To keep you signed in and to operate the service. These can't be turned off.
  • Analytics (Google Analytics). To understand how people use our website, so we can improve it.
  • Advertising (Google Ads). To measure how well our ads work (for example, whether someone who clicked an ad went on to create an account or buy a plan) and to show ii360 ads to people who have visited our website.

Your choices. Advertising cookies are on unless you turn them off. Use Your privacy choices at the bottom of any page; your choice is saved in that browser, so make it again on any other browser or device you use. If your browser sends a Global Privacy Control signal, advertising cookies are turned off automatically. You can also block or delete cookies in your browser's settings, and control how Google uses information for ads in your Google account's ad settings.

Information collected through these cookies is never combined with your uploaded videos or inventory content.

10. Children's privacy

ii360 is not intended for children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. International users and data location

We are based in the United States and process and store information there and in the regions used by our infrastructure providers. If you access the service from outside the United States, you consent to processing in the United States.

12. Changes to this Policy

We may update this Policy from time to time. We will change the "Last updated" date above and, for material changes, provide additional notice. Your continued use of the service after an update means you accept the revised Policy.
